Who I am
Left-field Brains is a coaching practice run by me, Mat Wiggins, as a sole trader based in London, UK. When this policy says "I" or "me", that's who it means.
I'm responsible for the personal information you share with me, which makes me the "data controller" under UK data protection law. [ICO registration number: add once registered]
This policy explains what I collect, why, how I look after it and what your rights are. If you have any questions, email hello@leftfieldbrains.com.
What I collect
When you get in touch: your name, email address and whatever you choose to tell me.
When you book a call or session: your name, email address, the time you choose and any answers you give in the booking form. Bookings are handled by Cal.com, which connects to my Google Calendar.
When we work together: your contact details, invoices and payment records, notes from our sessions, and anything you share in sessions, by email or on WhatsApp. I never see your full card details; payments are handled by [payment provider].
When you visit this site: basic, anonymous information such as which pages are viewed and what type of device is used, collected by Framer's built-in analytics. It doesn't use cookies or identify you.
How I use it
The law asks me to name a lawful basis for each use of your information. Here they are.
What I use it for
Replying to your enquiries
Booking and running calls and sessions
Session notes and support between sessions
Invoices and financial records
Understanding how the site is used
Lawful basis
Legitimate interests: you've asked me to get back to you
Contract, or steps you've asked for before one
Contract, plus your explicit consent for anything health-related (see below)
Legal obligation
Legitimate interests
I don't sell your information, and I won't send you marketing unless you've signed up for it. My Substack newsletter is run separately, under Substack's own privacy policy.
Health and other sensitive information
Coaching often touches on things like ADHD, wellbeing or mental health. UK law treats this as "special category" information and asks for extra care with it.
I only record it with your explicit consent, which I'll ask for in writing before we start working together. You can withdraw that consent at any time. I'll then delete those notes, though it may limit how well I can support you.
Coaching isn't therapy or medical treatment, and I don't make diagnoses.
Confidentiality and who sees your information
What you tell me stays between us. I won't share it with your employer, family or anyone else without your permission. The only exceptions are where the law requires it, or where I believe there's a serious risk of harm to you or someone else.
If someone else is paying for your coaching, such as an employer or a funding scheme, we'll agree at the start what, if anything, they're told.
I use a small number of services to run the practice. They handle information on my behalf, under agreements that require them to protect it.
Services and what I use them for:
Framer – Hosting this website
Google Workspace – Email, calendar and documents
Cal.com – Booking calls and sessions
Google Meet – Online sessions
Notion – Client records and session notes
WhatsApp – Messages between sessions, on packages that include it
[Payment provider TBC] – Taking payments
I don't record sessions unless we've both agreed to it beforehand.
Information stored outside the UK
Some of the services above are based in, or store information in, the EU or the US. Where your information leaves the UK, it's protected by safeguards UK law recognises, such as adequacy regulations (including the UK-US Data Bridge) or standard contractual clauses.
How long I keep it
I keep your information only as long as I need it, then delete it securely.
Enquiries that don't lead to working together – I keep for 12 months from our last contact
Session notes and client records – I keep for 3 years after our last session
Invoices and financial records – I keep for 6 years, to meet HMRC requirements
WhatsApp messages – I delete when our work together ends
Cookies
Cookies are small files a website stores on your device. This site only uses what it needs to work, and no advertising or tracking cookies.
The site's analytics don't use cookies or track you between visits. When you book a call, Cal.com may set cookies needed for the booking to work. These are covered by Cal.com's own privacy policy.
If I ever add optional cookies, I'll ask your permission first. You can also block or delete cookies in your browser settings.
Your rights
You can ask me to:
show you the information I hold about you
correct anything that's wrong
delete your information
limit how I use it, or stop using it
give you a copy to take elsewhere
withdraw any consent you've given
Email hello@leftfieldbrains.com. It's free, and I'll reply within one month. Some requests have legal limits; for example, I have to keep financial records for HMRC. If that applies, I'll explain.
If you're unhappy with how I've handled your information, please tell me first so I can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
I'll update this policy when the way I work changes. The latest version will always be on this page.
